MEPflow Terms of Service

These terms are the agreement between MEPflow and the business that subscribes to it. They are separate from the terms your own customers see, which you publish to them from your MEPflow account.
The service
MEPflow provides scheduling, estimating, invoicing, job costing, customer messaging and trade tools for mechanical, electrical and plumbing businesses, delivered as a mobile app and a desktop web application.
Plans and billing
Subscriptions are billed monthly in advance. Plans are sized by the number of people who use them:
- Base — $129/month. 2 users (1 office, 1 truck).
- Medium — $299/month. 7 users (2 office, 5 trucks).
- Large — $379/month. 9 users (2 office, 7 trucks).
- XL — $549/month. 15 users (3 office, 12 trucks).
Every feature is included on every plan. Plans differ only in how many people are on them. On the XL plan, additional trucks beyond the twelve included are $29 per month each. Prices are in US dollars and exclude any sales tax that applies to you.
Customer text messaging
MEPflow sends text messages to your customers on your behalf — appointment confirmations, arrival notices, estimate and invoice links, and replies you send from the app. Each plan includes a monthly allowance of outbound messages:
- Base — 500 messages per month
- Medium — 2,500 messages per month
- Large — 3,500 messages per month
- XL — 6,000 messages per month
Beyond your allowance, additional messages are $10 per 500 messages, charged to the card on file with your next invoice.
Things we think you should know before they cost you money:
- We tell you before you get there. We notify the account owner in the app and by email when you reach 80% and 100% of your allowance. We will not bill you for extra messages without having told you first.
- We count outbound messages only. Replies from your customers, including STOP and HELP, never count against your allowance.
- Long messages count as more than one. Carriers split messages longer than 160 characters into segments and charge for each. MEPflow counts segments, and the app warns you while you are typing when a message is about to split.
- Messages keep sending. We do not cut off your appointment texts mid-week for going over. If you would rather we stop at the limit, you can turn that on in Settings.
- Your allowance resets at the start of each billing period and unused messages do not carry over.
You are responsible for having your customers' consent to be texted, and for the content of the messages you send. Carrier rules (A2P 10DLC) apply and carriers may filter or refuse messages regardless of your allowance.
Cancelling
MEPflow is month to month. There is no contract and no notice period. You can cancel in the app at any time; your subscription stays active until the end of the period you have already paid for, and is not renewed. We do not require a phone call to cancel.
Your data
Your customers, jobs, estimates, invoices and payment records belong to you. You can export them as CSV files from Settings at any time, including after you cancel. If you ask us to delete your account we will do so, subject to records we are required to keep for tax and legal reasons.
Your technicians' location
While a technician is clocked in, MEPflow records where they are so your office can see which truck is nearest a call. It records position and its accuracy, speed, heading, whether the phone judges them to be moving, and battery level. It stops when they clock out, and every position is deleted automatically after 30 days. The full detail is in our Privacy Policy.
Telling your technicians is your responsibility, not ours. You are their employer; we are your software, and we have no way to know what you have told them. Several states require an employer to give written notice of electronic monitoring, and some require the employee's consent as well. By using MEPflow you confirm that you have given whatever notice and obtained whatever consent the law where you operate requires, and that you will do the same for anyone you hire later. If one of your technicians asks us to stop tracking them, we will send them to you.
Who may use MEPflow
You must be 18 or over to open an account. Technicians you add must be at least 16 — apprentices often are — and where one is under 18 you are responsible for any additional consent their age requires, including for the location feature above. MEPflow is not built for children, and we do not knowingly collect anything from anyone under 16.
Payments you take from your customers
Card payments you take through MEPflow are processed by Stripe under your own connected Stripe account. Stripe's fees and terms apply to those transactions, and money from them settles to you, not to MEPflow.
Acceptable use
Do not use MEPflow to send unsolicited marketing, to impersonate anyone, or to break the law. We may suspend an account that puts our messaging or payment providers at risk, and we will tell you why.
Availability
We work to keep MEPflow available, and it is built to keep working in the field when there is no signal. We do not promise uninterrupted service, and we are not liable for indirect or consequential losses. Nothing here limits liability that cannot be limited by law.
Changes
If we change these terms in a way that affects what you pay or what you get, we will tell the account owner by email at least 30 days beforehand. The version number and date at the top of this page tell you which terms are current.
